Who we are
References to “we,” “us,” “our,” or “Pythia” in this document refer to Pythia Industries. This policy describes how we handle personal information collected through our website and the platform we provide to clients.
Scope of this policy
This policy covers personal information collected through this website, through any account-gated areas of our platform, and through direct communications with us. Information collected during a paid engagement, including walkthrough video, floor plans, interview notes, and other facility data, is governed by the executed non-disclosure agreement and engagement letter for that engagement, not by this policy.
Information we collect
From site visitors. Standard server logs (IP address, user agent, requested URL, referrer, timestamp) and aggregate analytics about how the site is used. We do not run third-party advertising trackers, session replay, or behavioral retargeting on the site.
From correspondents. If you contact us by email or another channel, we receive the contents of that communication and any contact details you choose to provide.
From platform users. Account identifiers, access logs, content you submit (including notes, chat messages, and status changes), and metadata about your use of the platform.
From clients during engagements. The scope is defined by the engagement letter and non-disclosure agreement. Identifiable facility data is confidential to the client and is not used outside the engagement except as expressly permitted by that agreement.
How we use information
We use the information described above to operate and secure the website and platform, respond to inquiries, deliver and improve our services, communicate with clients about active engagements, comply with legal obligations, and exercise or defend legal claims. We do not sell personal information.
Legal bases for processing
Where required by applicable law, we rely on one or more of the following legal bases: performance of a contract with you or your organization, our legitimate interests in operating and protecting our business, compliance with a legal obligation, and your consent where consent is the appropriate basis.
Cookies and similar technologies
We use a small number of cookies and similar technologies that are necessary to serve the site, keep authorized users signed in, and measure aggregate traffic. We do not use advertising cookies. Most browsers allow you to refuse or delete cookies; doing so may degrade parts of the site or platform.
How we share information
We share personal information only with service providers that help us operate the business, such as cloud infrastructure providers, database providers, and AI model and analytics providers, in each case under contractual obligations to protect the information and use it only for the services we engage them to perform. We may also disclose information when required by law, to enforce our rights, to protect against fraud or harm, or in connection with a corporate transaction such as a merger, acquisition, financing, or sale of assets.
International transfers
Our team and our service providers operate from multiple jurisdictions. By using the site or platform, or by engaging us, you understand that information may be processed across borders. Where required by applicable law, we use appropriate safeguards for cross-border transfers.
Data retention
We retain personal information for as long as necessary to provide our services, comply with legal obligations, resolve disputes, and enforce our agreements. Engagement-related materials are retained according to the terms of the relevant engagement letter.
Security
We use administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, disclosure, alteration, and loss. No system is perfectly secure, and we cannot guarantee absolute security.
Your privacy rights
Subject to applicable law and reasonable verification, you may have rights to access, correct, update, or delete personal information we hold about you, to object to or restrict certain processing, to withdraw consent where processing is based on consent, and to request a portable copy of your information. To exercise any of these rights, contact us using the details below. We will respond within the time required by applicable law.
Children’s privacy
Our website and platform are intended for use by professionals and are not directed to children. We do not knowingly collect personal information from children.
Third-party links
The site may contain links to third-party websites or resources. We are not responsible for the privacy practices of those third parties and encourage you to review their policies.
Changes to this policy
We may update this policy from time to time. When we do, we will revise the “last updated” date above. Material changes will be communicated by appropriate means.
